Each phase integrates cross-functional collaboration and structured review cycles to ensure quality, consistency, and compliance.
Phases
Stakeholder & Audience Analysis
Define the document's scope, identifying the audience, and understanding their technical proficiency, goals, and pain points. Audience analysis informs all subsequent decisions: terminology level, content depth, document structure, and tone.
Obtain Product Access & Supporting Credentials
Request all necessary access credentials, test environments, engineering specifications, and existing reference materials. This ensures the documentation effort is grounded in authoritative, current source material and eliminates information gaps before the drafting phase begins.
Conduct Product Exploration & Experiential Testing
Perform hands-on product evaluation to develop procedural knowledge. This phase replicates the end-user experience, uncovers undocumented edge cases, and produces authentic screenshots, workflow captures, and product photography (where applicable). Direct product interaction is essential for producing accurate procedural content that does not merely restate engineering specifications.
Clarify Ambiguities with Product Managers & Engineers
Consolidate unresolved questions and schedules targeted consultations with the Product Manager and relevant engineering leads. This step is critical for resolving terminology discrepancies, confirming expected system behaviors, and aligning the documentation scope with the product roadmap.
Author Draft & Submit for Initial Peer Review
Author the first complete draft. The draft adheres to the applicable style guide, incorporates visual assets produced during product evaluation, and follows the document template approved for the deliverable type. Upon completion, the draft is submitted to an assigned peer reviewer or documentation lead for the first structured review cycle.
Incorporate Feedback & Prepare the Production Document
Reviewer feedback is triaged, assessed for validity, and incorporated systematically. This phase encompasses content accuracy corrections, style conformance adjustments, and structural improvements. Prepare the production-ready document: applying final formatting, confirming cross-references and hyperlinks, running accessibility checks, and generating required outputs per the distribution specification.
Distribute to Stakeholders for Final Review & Sign-Off
Circulate the document to all designated stakeholders — including product owners, legal, compliance, subject-matter experts, and support— for final review and approval. A defined review window is established, and a feedback consolidation meeting is held if conflicting inputs arise. Formal approval is documented (electronic signature, email confirmation, or ticketing system sign-off) before distribution proceeds.
Publish & Archive Across All Designated Repositories
Finalized document is published to designated distribution channels in the appropriate format for each platform. Internal repositories ensure organizational accessibility and version control compliance; If applicable, a customer-facing Community Site extends the document's reach to end users, support teams, and partners.
